What is Validation?

By Mailneo Team|

Email validation is the process of verifying that an email address is syntactically correct, has a valid domain with working MX records, and is likely to accept messages. It catches typos, fake addresses, and disposable emails before they enter your list and cause bounces.

Why It Matters

Every invalid address on your list is a bounce waiting to happen. High bounce rates directly damage your sender reputation and can get you flagged or blocked by ISPs. Validation at the point of signup prevents bad data from entering your system in the first place, which is far cheaper than cleaning it up later. Industry data suggests that 20-30% of email addresses entered in web forms contain some kind of error.

How It Works

Validation typically happens in layers:

  • Syntax check — Is the address formatted correctly? (has an @, valid characters, proper domain structure)
  • Domain check — Does the domain exist and have MX records that can receive mail?
  • Mailbox check — Can the server confirm the specific mailbox exists? (This uses SMTP verification, which isn't always reliable because many servers intentionally don't reveal this information.)
  • Disposable/temporary check — Is this a throwaway address from services like Guerrilla Mail or Temp Mail?

Quick Tips

  • Add real-time validation to your signup forms — catching a typo instantly is better than sending a welcome email that bounces.
  • Re-validate your entire list every 3-6 months, since addresses go stale over time.
  • Don't confuse validation with verification — validation checks if an address can receive mail, while verification confirms the person behind it is real (usually via confirmation email).
